Energy balance is the thing we obsess over in hybrid: a room full of people can easily drown out the folks dialing in from home, and the second the remote group feels like an audience instead of a team, the event is over for them. Our format solves this on two fronts. First, every team is mixed (in-room and remote players on the same team, on the same scoreboard), so the connection is structural, not just vibey. Second, we partner with Weve for hybrid staffing: an on-screen host runs the show for the remote feed while a local host works the room, and the two of them are scripted to throw beats to each other so neither group ever sits idle. The net is one event, not two.

Will you donate the bikes to a specific local nonprofit?

Accepted Answer

Yes — we partner with a vetted local nonprofit in your city for the bike reveal at the end, and we're happy to match a specific charity if you have one in mind (we vet for 501(c)(3) status and capacity to receive). The kids from the recipient organization come in for the reveal whenever logistics allow; that moment is the whole reason we love running this event.

What is your cancellation or reschedule policy?

Accepted Answer

Reschedules with more than 30 days notice are free. Inside 30 days we work case-by-case, and inside 7 days we ask for a partial fee to cover staff who already committed the date. Outright cancellations follow the same sliding scale. I'll send the exact terms over with the proposal so there are no surprises.

How far in advance do we need to book?

For most formats 4-6 weeks is comfortable. Holiday season (November/December) and the most-requested hosts and venues book out 6-10 weeks ahead, so locking the date is what frees up the rest of the planning. We do run last-minute events when the bench has capacity — worth asking even if your date feels tight.

Is there a minimum or maximum group size?

Our practical minimum is 8 players or at least two teams, but it depends on which game. . The ceiling is whatever venue you can fit — we've run single events for 1,000+ players with multiple hosts and parallel rooms. The sweet spot for most clients is between 40 and 150.

Do you offer events in languages other than English?

Accepted Answer

Yes — we run events in Spanish, French, German, and a handful of other languages depending on host availability. The challenges and host script are translated and adapted (not just word-for-word) so the humor lands. Worth flagging on our call so I can pair you with the right host bench.

What are your tech requirements for a virtual or hybrid event?

Accepted Answer

Players join on a modern desktop browser (Chrome, Edge, Firefox, Safari — no install). We need ~5 Mbps down per player and outbound access on standard 443/WebSocket ports; corporate VPNs and most firewalls work out of the box. We always run a tech check with your IT lead a few days before to catch anything specific to your environment.

Can you customize the content with our company branding or inside jokes?

Accepted Answer

Yes — every event includes light branding (your logo on the scoreboard, your colors on team names) at the Pro level. Deeper customization (custom questions about your company, a CEO cameo round, a product-themed scavenger task) is a per-project add-on and the lift depends on what you want. I'll scope it on the call.

Can you accommodate dietary restrictions and food allergies?

When we handle catering we collect dietary restrictions in the run-of-show questionnaire and brief the venue/caterer ahead of time. We can handle vegan, vegetarian, gluten-free, kosher, halal, and the major allergens. Worth flagging anything unusual on our call so we can confirm with the venue before contract.

Are your events competitive or collaborative?

A healthy mix of both. There's enough friendly competition to keep the energy high, but collaboration is what really drives success. Teams solve puzzles, complete creative missions, and tackle head-to-head challenges throughout the event. We also intentionally avoid turning events into endurance contests. We'd rather end while everyone is still having a blast than keep people walking until their feet hurt.

Can alcohol be incorporated—or avoided?

Absolutely. Many clients choose to end their event at a brewery, winery, or happy hour, while others prefer to keep things completely alcohol-free. We can accommodate either approach. In general, we think the best time to enjoy a drink is after the team-building portion wraps up, when everyone can relax and celebrate together.

Yes! Your questions can be as professional or as playful as you'd like. Maybe it's: Which product feature launched in Q1? Who accidentally jumped into the hotel pool fully clothed at last year's sales kickoff? Which employee has worked here the longest? These little inside jokes and company stories are often the biggest laughs of the day.

Yes—and it's one of our favorite things to do. Our Pro and Premium experiences allow for extensive branding and customization throughout the app and event. Can you work with our venue, or do we need to find one?

Either works. We're just as comfortable running events at your office or conference venue as we are taking teams out into the city. Over the past 25 years we've built relationships with trusted venues across North America, so if you're looking for recommendations, we're happy to help. For events of up to around 100 guests, we can also provide the AV equipment needed for the experience.

How much work is required from our team?

Very little—that's by design. We'll absolutely welcome your ideas and input, but our goal is to make this one of the easiest parts of your event to plan. We know you've got a dozen other responsibilities competing for your attention, so we handle the logistics, production, and execution while keeping you in the loop where it matters. Our favorite compliment is hearing that the organizer got all the credit without having to do all the work.

What happens if it rains or the weather changes?

We're very much a rain-or-shine company. Most of our outdoor events can continue even when the weather doesn't cooperate. Our scavenger hunts use SmartRouting™ technology, which lets us activate and deactivate missions in real time. If a challenge takes place in the middle of an exposed park, we can swap it out for one under cover without players missing a beat. In 25 years, we've only had to cancel a handful of events—and all were due to extreme weather like hurricanes.

No problem. Final numbers almost always shift a little as people RSVP, cancel, or bring a colleague. We're used to last-minute changes and can easily add or remove teams before or even during an event. If your attendance changes dramatically, we may need to adjust staffing or update the invoice, but normal fluctuations are simply part of event planning.
